TERMS & CONDITIONS

When booking or participating in any tour, including related products or services, with Machu Picchu Reservations (“MPR” or the “Tour Operator”), you are agreeing to the following Terms & Conditions (“Terms”). These Terms represent a legally binding agreement between you and MPR, and are intended to ensure the smooth running of your tour and the satisfaction of all parties involved.

It is important to read and understand these Terms before booking or participating in any tour with MPR. They include important information regarding payment policies, cancellation and refund procedures, health and safety requirements, and other key considerations.

By agreeing to these Terms, you are acknowledging that you have read and understood all of the information provided, and that you are willing to comply with all relevant policies and regulations. If you have any questions or concerns about the Terms or your tour, please do not hesitate to contact us for further information.

At MPR, we are committed to providing you with the best possible tour experience, and we look forward to welcoming you on one of our tours soon.

RESERVATIONS

When you book a tour with a Tour Operator or travel agent and pay the applicable deposit amount, a contract is created and your booking is confirmed. It is important to carefully review your written confirmation for any incorrect or incomplete information and notify the Tour Operator or authorized agent immediately.

To ensure a smooth journey, it is crucial to make sure that the names on the booking are identical to those on the relevant passport. Additionally, please note that the deposit is completely non-refundable in any situation and no exceptions can be made.

To enter the Inca Trail and Machu Picchu, you must present the original passport that you used to make the booking. If you have renewed your passport since booking, you must bring both the expired passport and the new, valid passport to gain entry. Failure to present the required documentation may result in refusal of entry.

If you are eligible for a student discount, the only acceptable form of identification is your University Card with a clear expiration date that matches the year of your trek. ID cards with expiry dates in the following year, even if they are still valid, will not be accepted by the Peruvian government. You must provide a copy of this card at the time of booking.

CANCELLATIONS

At Machu Picchu Reservations, we understand that unexpected events can arise, necessitating a cancellation of your tour. However, we regret to inform you that your deposit is 100% non-refundable, and there are no exceptions to this policy.

Please be aware that if you cancel your tour as the start date approaches, there may be additional costs due. This is because our out-of-pocket expenses for arranging the tour are non-refundable to us, and we have a responsibility to ensure that all costs are covered.

We understand that some clients may request cancellations due to medical reasons or other unforeseen circumstances. However, we regret to inform you that we do not accept medical notes or any other documentation as exceptions to our cancellation policy.

We strive to provide you with a high-quality tour experience and assure you that our cancellation policy is designed to ensure that all aspects of the tour are properly planned and executed. Thank you for your understanding.

AGREEMENT LETTER

By this agreement letter, I acknowledge that adventure tours involve inherent risks and dangers, including those associated with traveling in mountainous terrain, remote locations without medical facilities, and the forces of nature. I agree to assume all risks associated with the tour and agree that Machu Picchu Reservations S.A.C., its employees, or agents will not be held responsible for any injuries, illness, damages, or losses that may occur during the tour.

I understand that delays or changes in the itinerary may occur due to unforeseen circumstances, such as weather conditions, accidents, or acts of nature, and that the Tour Operator reserves the right to modify or withdraw travel arrangements as necessary in the interests of the customers.

I agree to respect the customs of local people and the wildlife in the areas we will be visiting, and to behave in the best interest of the safety of the group. I also declare that I do not have any physical or psychological problems or diseases that could affect the other participants during the tour.

This agreement, I confirm that I have read and understood the information provided in the briefing and agree to follow the instructions of the guide. I acknowledge that Machu Picchu Reservations S.A.C. cannot be held responsible for any lost or left belongings.

Please note that once your booking is confirmed, deposits are non-refundable. If you need to cancel your tour, the chart below outlines the fees that will be due according to our cancellation policy:

  1. If you cancel within 72 hours of your start date, 60% of your total tour cost is due.
  2. If you cancel within 48 hours of your start date, 80% of your total tour cost is due.
  3. If you cancel within 24 hours of your trek, 100% of your total tour cost is due.
  4. We understand that unforeseen circumstances may arise that necessitate a cancellation of your tour, and we regret any inconvenience this may cause. However, please note that our cancellation policy is designed to ensure that all parties involved are treated fairly and that any out-of-pocket expenses incurred by the tour operator are covered.

We encourage you to review our cancellation policy carefully before making your booking to ensure that you are comfortable with these terms. If you have any questions or concerns about the policy or your tour, please do not hesitate to contact us for further information.

INCA TRAIL AND MACHU PICCHU TICKETS AND PERMITS

Please note that Inca Trail permits and Machu Picchu tickets are issued in your name and cannot be transferred to anyone else under any circumstances. Once a permit has been purchased, it is not possible to change the dates, and the permit is non-refundable and non-transferable. If you cancel your trek, the deposit will be forfeited. Please be aware that this is a regulation of the Peruvian government, and not a policy established by MPR or any agency.

In the event of the Inca Trail being closed for safety reasons, MPR will offer an alternative trek as a replacement.

If you booked your permit with a student ID, please ensure that you bring this card with you on the trek. The Park Rangers require that you show this ID to be allowed entry onto the trail. Failure to present a valid student ID will result in denial of entry.

At MPR, we strive to ensure that your trek is as enjoyable and hassle-free as possible. Please review this information carefully and contact us if you have any further questions or concerns.

MEDICAL INFORMATION

  • You must advise MPR of any medical problems or allergies you may have. You need to be in good physical health, and if your health is questionable, then you should consult a doctor. If you are over the age of 70 years old, then you will need to present us with a current good health medical certificate.
  • You are responsible for assessing whether a Tour is suitable for you. You should consult your physician to confirm your fitness for travel and participation in any planned activities. You should seek your physician’s advice on vaccinations and medical precautions. The Tour Operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your own unique circumstances, limitations, fitness level, and medical requirements.
  • MPR reserves the right to deny you permission to travel or participate in any aspect of a Tour at any time and at your own risk and expense where the Tour Operator determines that your physical or mental condition renders you unfit for travel or you represent a danger to yourself or others.
  • Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The Tour Operator may refuse to carry pregnant women over 24 weeks. The Tour Operator may refuse to carry anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.
  • It is strongly encouraged to purchase Travel Insurance to protect you in case of a medical emergency or any tour cancellations.

TOURS AND TREKS

  • All balances need to be paid in either cash, Visa debit credit card or PayPal (in full) prior to the briefing which will be held the night before your tour. Visa incurs a 6% service fee and if you need to use another card, it must be through PayPal which incurs a 5.5 % service fee.
  • You must advise your guide if you wish to leave the group or the camping area for independent walks or sightseeing. If you are experiencing any problems with the services of the guide or tour, please advise the guide in that moment, so that he can resolve any problems.
  • All Adventure Treks include transportation to Cusco. The return train route depends on train availability.
  • If you become ill or injured on the trail and are unable to continue, a porter will be provided to accompany you back to an area with emergency assistance capabilities. Helicopter air lifts and medical assistance are at the expense of the trekker. If you are unable to complete the tour due to illness, we will assist you in meeting your group at Machu Picchu to recommence your tour at that point. There will be no refund of the original payment. However, we will prepare a document to certify illness which can be presented for your travel insurance.
  • MPR will take all reasonable care in providing to our clients avoidance of accident, illness, and loss of personal property, and will only employ suitably qualified staff. We accept responsibility for the actions of our own employees. MPR cannot, however, be responsible for any action of third parties. You are totally responsible for your own personal property and rented equipment.
  • MPR does not take responsibility for unfavorable weather conditions, natural catastrophe, strikes, accidents, illness, injury, loss of personal ítems, etc. It is the client’s responsibility to carry insurance to cover these types of events. We reserve the right to modify or cancel the program due to any of the unforeseen conditions listed above.
  • MPR may modify your itinerary where reasonably required in its sole discretion.
  • Group tours might be as large as 16 participants. Groups are open to everyone no matter skill or age. By accepting a Group Tour you acknowledge that others might change the speed and timing of the tour.
  • All tours are done in English.
